Every weekly meeting recorded at the table: shares, social fund, fines, loans and the cash box count. Its rules follow the Microfinance (Community Microfinance Groups) Regulations 2019 and your own constitution.

Members and leaders

Ten to fifty members, and the leaders the constitution names.

Register of members

Every member with number, join date, shares, nominee and status; the register stops at fifty, as the regulations do.

Leaders and key holders

Chairperson, secretary, treasurer, money counters, key holders and the discipline master, with terms and elections.

Cycle and shares

One share price for the cycle, whole shares every meeting.

The cycle

Open the cycle with its share price and rules copied from your constitution; it runs until the share-out.

Shares within the band

One to five shares per member per meeting, recorded to the member's shares account with the meeting on the slip.

Social fund

A flat contribution each meeting, grants and interest-free loans for bereavement, illness, school fees and emergencies, repaid to the fund.

Fines

Your constitution's schedule of fines, assessed at the meeting, taken in cash or waived with a reason, and set off at the share-out.

The meeting and the cash box

Every shilling moves at the meeting, and the box is counted twice.

Open the box

Sign members in, open the session, count the cash and record the counters and key holders present.

Record at the table

Shares, social fund, fines, loan payouts and repayments from one tab, each named to the meeting.

Cash book and count

The cash book is derived from the records; the closing count is kept against the expected figure and printed in the meeting report.

Member loans

Up to three times the member's shares, repaid before the cycle ends.

Loans that fit the cycle

A flat monthly charge, a term no longer than the constitution allows, one loan per member, none while a fine is unpaid.

Social collateral

Members of the sumaku stand as guarantors with a written disclosure, pledging no savings.

Paid out and repaid at the meeting

Approved loans are paid out of the box and repayments taken at the table, both in the meeting's cash book.

Share-out

Everything back to the members, in proportion to their shares.

The pool

Cash in the box and accounts, less the social fund you carry and what the members resolve to keep.

Each member's line

Shares returned plus profit in proportion, or at par with profit split equally; unpaid fines set off.

Paid or rolled over

Pay the line out of the box or roll it into the next cycle's shares at the new price, with a statement for every member.

The reporting calendar tracks every statutory deadline, and the system prepares the reports from the records you already keep.

Every obligation generated twelve months ahead from your licence and financial year, with dates moved off weekends and public holidays.

Reminders before each deadline

Email at 14, 7 and 1 days before and when overdue, optional SMS, and a notice on the home screen.

Submissions on record

Owners and admins record the date, reference and the regulator's acknowledgement for each return.

Complaints register

A registration number on receipt, 14-day and 48-hour due dates, Bank of Tanzania referrals and the monthly Form No. 2.

Council return and registers

The quarterly report in the Third Schedule shape, the cash book of meeting sessions, the social fund and fines registers and the share-out statement.

Group rules

Registration with the council, meeting day, share band, social fund contribution, cycle length, longest loan term and the share-out basis.
